2. Tender Related Matters

1) Export Freight Forwarding Service Scope: Handle all export procedures for goods traded on FOB Qingdao term

- Book shipping space with shipping lines or agents designated by client (food-grade containers subject to legal inspection)

- Apply for commodity inspection, customs declaration, container trucking and coordinate customs inspection

- Complete manifest data entry

2) Import Freight Forwarding Service Scope: Handle all import procedures for goods traded on CIF Qingdao term

- Complete shipping document exchange with carrier, customs declaration and inspection upon arrival, expedited clearance for import section, resolve inspection issues with customs examination division

- Complete processing trade manual filing and verification (manual entry in Golden Customs II System, check balance of material consumption ratio etc.)

- Record and manage imported raw materials for processing trade according to manual ledger

- Apply for duty exemption equipment approval, coordinate and resolve customs manual audit issues

- Our company faces annual customs audits for processing trade; you shall coordinate and resolve issues with Customs Audit Division and Customs Anti-Smuggling Bureau when problems arise

 3. Tender Participation Qualifications

1) Enterprises with no legal disqualification records, capable of handling import and export freight forwarding safely and efficiently

(Possess Business License, Tax Registration Certificate, Customs Declaration Unit Registration Certificate, etc.)

2) Enterprises with no record of breach of contract during previous cooperation with our company 

 4. Tender Presentation Format : Separate company P/T Presentation (10 mins presentation per company, 10 mins Q&A)

1) Deadline for tender participation application submission: 12:00, Monday, May 27, 2024

3) Tender P/T Presentation Time: 14:00, Friday, May 31, 2024

            (Separate presentation time for each company will be notified after application deadline)

4) Tender Result Announcement: Individual notification to each bidder

*Any schedule changes will be notified separately

 6. Required Tender Documents

1) Tender Application Form (refer to attached template): Submit in advance by 12:00 May 27, 2024

2) Tender Presentation Slides: Submit in advance by 14:00 May 31, 2024

*Quotation sheet to be submitted on-site on the day of P/T presentation

3) Other Requirements

- All bidding documents shall be sent via email before the submission deadline, and you must call the tender coordinator to confirm receipt

- All tender materials shall be sent together as electronic files; hard copy printed documents shall not be handed to the coordinator directly 

- Combine all tender materials into one single file for submission, named as "Tender Announcement Title – Company Name" (compressed files are not allowed)

- Submitted documents will not be returned

 7. Final Supplier Selection Criteria: 

    Based on price competitiveness of submitted quotation sheet (detailed quotation template will be sent separately later)

 8. Invalid Bid Determination

1) Any fraud or obstructive conduct during tender proceedings

2) Submitted materials inconsistent with tender requirements or deemed unqualified

3) Failure to perform contract or dishonest performance after final selection

4) Other circumstances subject to invalidation judgment

1) Company profile of import & export freight forwarder

2) Proposed unit prices (detailed quotation breakdown to be attached separately)

3) Customer complaint handling plan

4) Other supplementary information

 10. Miscellaneous Provisions

1) Selected tender bidders who fail to perform the signed contract will be disqualified from all future tenders hosted by our company.

2) Bidders shall fully read and understand all relevant tender rules and notes before participation; bidders shall bear all liabilities arising from insufficient understanding. 

3) Follow-up notifications regarding supplementary tender documents and review materials will only be sent to applicants who have submitted complete application files.
